How To Guide - Digital Services
If any of your clients have recently gone through changes to their workplace pension scheme, you’ll notice some differences to how you can now carry out certain tasks/activities for them on our digital services.
This ‘how-to-guide’ has been created to support you with the day-to-day administration of your client(s) pension scheme(s), such as uploading contribution files, checking the value of employees’ pension plans and requesting a bulk data download. It aims to answer the most frequently asked questions about how to navigate through our digital services, to allow you to continue to support your clients.
First of all, please select below which scheme(s) you’re looking into, this will provide you with information about how to manage any key activities.
Schemes starting with an N

Add a new member to a scheme and / or upload contribution information
To carry out these tasks you will need to login to the Employer Portal. You can do this by:
Logging in to the Employer Online Services
or
Logging in to the Adviser Extranet and select the workplace savings tab:
- Select the scheme you want to add a member to.
- In the scheme administration section select ‘Employer online services’.
- You can login to the online portal from here to add a new member and / or upload your contributions.
Note – The scheme owner will have to give you access to the Employer Online Services, please speak to the superuser to get set up.
View members who have left the scheme
Login to the Adviser Extranet and select the workplace savings tabs (if you have the plan number for the one you want to get information on, you can use the search function on the existing business tab, this will take you to step 3 below):
- Go to the scheme you want to review.
- For more details you can press the 'View policy details' button.
- On the next screen, at the top of the page, you’ll see an option to get a 'Joiners and leavers report'. Once you’ve selected this, you can then select a period and download the list of joiners and leavers for this scheme over this period.

View scheme contribution history
Login to the Adviser Extranet and select the workplace savings tab.
- Go to the scheme you want to review.
- Select the 'Contribution History' tab on the main homepage.
Please note breakdown by scheme pay centres is not currently available.
Get the charges applicable to a scheme
Login to the Adviser Extranet and select the workplace savings tab.
- Go to the scheme you want to review.
- On the main page under the 'Scheme Details' header you'll find the total annual fund charge for the scheme.
View the funds available for a specific scheme
Login to the Adviser Extranet and select the workplace savings tabs (if you have the plan number for the one you want to get information on, you can use the search function on the existing business tab, this will take you to step 4 below):
- Go to the scheme your client is enrolled in.
- On the next screen you’ll see a list of client names, select 'Manage' on the relevant client.
- On this screen you’ll be able to see the value of the client’s pot.
- For more details you can press the 'View policy details' button.
- On this screen press the 'Documents' tab and you’ll be able to see a list of available documents. There is a brochure in this area detailing the pension funds available.
View literature for a scheme
Login to the Adviser Extranet and select the workplace savings tabs (if you have the plan number for the one you want to get information on, you can use the search function on the existing business tab, this will take you to step 4 below):
- Go to the scheme your client is enrolled in.
- On the next screen you’ll see a list of client names, select 'Manage' on the relevant client.
- For more details you can press the 'View policy details' button.
- On this screen press the ‘Documents’ tab and you will be able to view documents relevant to the scheme.

Make changes to a member's address
Login to the Adviser Extranet and select the workplace savings tab (if you have the plan number, you can use the search function on the existing business tab, this will take you to step 3 below):
- Go to the scheme your client is enrolled in.
- On the next screen you'll see a list of client names. Select 'Manage' on the relevant client.
- At the bottom of the page there is a section labelled 'Change contact details'.
- Select the 'Change address' option on the next page.
Make changes to other personal details
It’s not possible to make changes to any other personal details online. If you're looking to make a change to personal details, please email us at workplacepensionsadviser@scottishwidows.co.uk or alternatively call us on 0345 850 1060. We’re open Monday to Friday, 9am to 5pm.
Switch a members funds and/or process a redirection
Login to the Adviser Extranet and select the workplace savings tab (if you have the plan number, you can use the search function on the existing business tab, this will take you to step 3 below):
- Go to the scheme your client is enrolled in.
- On the next screen you'll see a list of client names. Select 'Manage' on the relevant client.
- At the bottom of the page there is a section labelled 'Manage Investments'. Here you can select the 'Switch funds' or 'Redirect future contributions' button.
- Then you can proceed with selecting the new investment strategy and/or redirection for the client.
Get a projection on a member's plan
Login to the Adviser Extranet and select the workplace savings tabs (if you have the plan number for the one you want to get information on, you can use the search function on the existing business tab, this will take you to step 3 below):
- Go to the scheme your client is enrolled in.
- On the next screen you’ll see a list of client names. Select 'Manage' on the relevant client.
- At the bottom of the page there is section labelled 'Tools and Services'. Here you can select the ‘Projection and What-if calculators’ button.
- Then you can enter the projection details including retirement age to project to, future regular contributions, transfers in and lump sum contributions.
View a member's contribution history
Login to the Adviser Extranet and select the workplace savings tabs (if you have the plan number for the one you want to get information on, you can use the search function on the existing business tab, this will take you to step 4 below):
- Go to the scheme your client is enrolled in.
- On the next screen you’ll see a list of client names, select 'Manage' on the relevant client.
- For more details you can press the 'View policy details' button.
- On this screen, press the Regular Payments tab and you’ll be able to see the details of any regular payments. You can press the contribution tab to view a contribution history. You can also get a PDF of this information by selecting 'Transactions' in the Client Reports section at the top of the page.
Download a Client Review Report
Login to the Adviser Extranet and select the workplace savings tab (if you have the plan number, you can use the search function on the existing business tab, this will take you to step 3 below):
- Go to the scheme your client is enrolled in.
- On the next screen you'll see a list of client names. Select 'Manage' on the relevant client.
- At the top of the page there is a section labelled 'Client Review'.
- Input the reporting period you would like and add in your firm details. Then select 'Continue' for the report to open.
Transfer another pension to a Scottish Widows plan
If you have a member who is looking to transfer their pension, you can view the process here
Get the value of a member’s plan
Login to the Adviser Extranet and select the workplace savings tabs (if you have the plan number for the one you want to get information on you can use the search function on the existing business tab, this will take you to step 3 below):
- Go to the scheme your client is enrolled in.
- On the next screen you’ll see a list of client names select 'Manage' on the relevant client.
- On this screen you’ll be able to see the value of the client pot.
- For more details you can press the 'View policy details' button.
- On this screen press the Valuation tab and you’ll be able to see the value of the plan and the funds the client is invested in. It’s also possible to get a backdated policy valuation by adding the required date in the 'Investment valuation as at' section. You can also get a PDF of this information by selecting ‘Valuation’ in the Client Reports section at the top of the page.

Get a bulk data download
Login to the Adviser Extranet and select either the Existing Business or Workplace Savings tab to create a Bulk Data Download.
- In the section labelled Bulk Data Download, press the button labelled 'Request new or Edit data download'.
- You can then select the product type (detailed below) you want information on (if you want to do more than one product type, you need to do multiple requests).
- For Retirement Account, the report will download all the plans in your portfolio.
- For Bonds and Individual Pensions, you can select whether to get information on Bonds, Individual pensions or both. You can then select the frequency (once, weekly, monthly) of the report, date the report is generated and the format of the report.
- For workplace savings, you can select the frequency (once, weekly, monthly), date the report is generated and the scheme(s) included in the report. This will allow you to get downloads for the scheme you administer.
Note - In the description box you should add a label that will allow you to identify what’s included in this report in the future.
Retrieve an existing bulk data download
Login to the Adviser Extranet and select either the Existing Business or Workplace Savings tab to access Bulk Data Download.
- In the section labelled Bulk Data Download press the button labelled 'Retrieve an existing data request'.
- This will take you to the page where you can see all your downloads. Select the option you want to download and follow the steps on the screen to download the report.

Add a new member to a scheme and / or upload contribution information
To carry out these tasks you will need to login to the Employer Portal. You can do this by:
Logging in to the Employer Online Services
or
Logging in to the Adviser Extranet and select the workplace savings tab:- Select the scheme you want to add a member to.
- In the scheme administration section select ‘Employer online services’.
- You can login to the online portal from here to add a new member and / or upload your contributions.
Note - If you're a Trustee, Third-Party administrator or an Adviser please call the contact centre directly on 0345 716 6777
If you're an administrator of individual schemes, the scheme owner will have to give you access to the Employer Online Services, please speak to the superuser to get set up.

- Go to the scheme your client is enrolled in.
- On the next screen you’ll see a list of client names select 'Manage' on the relevant client.
- On this screen press the 'Documents' tab and you’ll be able to see a list of available documents. There is a brochure in this area detailing pension funds available.

- Go to the scheme your client is enrolled in.
- On the next screen you’ll see a list of client names select 'Manage' on the relevant client.
- On this screen press the ‘Documents’ tab and will be able to view documents relevant to the scheme.

View a member's contribution history
Login to the Adviser Extranet and select the workplace savings tabs (if you have the plan number for the one you want to get information on, you can use the search function on the existing business tab, this will take you to step 3 below):
- Go to the scheme your client is enrolled in.
- On the next screen you’ll see a list of client names, select 'Manage' on the relevant client.
- On this screen press the Regular Payments tab and you’ll be able to see the details of any regular payments. You can press the contribution tab to view a contribution history. You can also get a PDF of this information by selecting 'Transactions' in the Client Reports section at the top of the page.
Transfer another pension to a Scottish Widows plan
If you have a member who is looking to transfer their pension, here you can view the process.
Get the value of a member’s plan
Login to the Adviser Extranet and select the workplace savings tabs (if you have the plan number for the one you want to get information on, you can use the search function on the existing business tab, this will take you to step 3 below):
- Go to the scheme your client is enrolled in.
- On the next screen you’ll see a list of client names select ‘Manage’ on the relevant client.
- On this screen press the Valuation tab and you’ll be able to see the value of the plan and the funds the client is invested in. It’s also possible to get a backdated policy valuation by adding the required date in the ‘Investment valuation as at’ section.
You can also get a PDF of this information by selecting ‘Valuation’ in the Client Reports section at the top of the page.
